Balancing Office Systems Can Be As Easy As Riding a Bike

When children learn to ride bicycles they go through the series of vicissitudes that is known as the learning process. Generally they first start off on a tricycle and slowly graduate to a two wheeler with training wheels. Eventually the training wheels come off and they are now riding on two wheels. It doesn’t stop here. Bikes can become more powerful (i.e., scooters, dirt bikes and motorcycles) and requires even more of a learning curve. This process requires learning balance and control. The ability to balance the equipment and control the environment are the two factors needed for growth throughout the system.

A well designed office works in much the same way. There are internal systems in place that makes work go more smoothly and in an organized way. In addition, there are environmental issues that require balance in order for the system to work well. Understanding the system well or choosing a system that provides the best net results (i.e., productivity and functionality) is the first step in the process. With that system in place, design requires control over the outside environment in order to have the system work effectively. Like a child learning to ride a bicycle, there may be potholes in the roadway and obstacles to navigate. An office has things that make system employment difficult.

Lighting: Not having the proper lighting can make functions difficult or impossible. The result is poor quality workmanship and unhappy workers. Improper lighting is the number one complaint from office workers in resent studies.

Noise: Not balancing distraction from outside conversation, equipment, traffic, or other environmental devices can interrupt concentration, idea development, and ultimately waste time.

Office Furniture:Office furniture: Like any job, not having the right tools for the job can make getting the needed results more difficult and certainly more annoying.

Visual Employmnet:Visual employment: Not balancing line of sight can work two ways: not enough sacrifices control while too much visual access can be distracting and waste time and money.

Technology: Technology: Not having the right equipment in the right place at the right time can slow work to a crawl, inhibit results, and account for wasted production dollars.

These are some of the ways that the environment can alter the best laid plans. Natural or human-made systems that best approximate optimal strategies afforded by the environment tend to be successful. Systems exhibiting lesser approximation tend to become extinct. This results in the convergence of form and function over time. The degree of convergence in an environment indicates its stability and receptivity to different kinds on innovations.

While office furniture is only part of office system development and execution, it’s a part that dictates how and where and what work is done. For this reason, system furniture has become popular in most offices because its flexibility allows for equipment and placement to appropriate worker’s needs. In my mind, system furniture is really a system within a system. While being made up of parts to complete a common goal, it works hand-in-hand with the conceptual system.
